We are seeking an Office Manager to take ownership of day-to-day office operations, coordinate communication between departments, and bring a dependable, hands-on approach that keeps our small business running smoothly.

Founded in 1992 as a full-service traffic control and road signage business, we expanded into custom signage in 2008 and continue to grow. As a small, fast-paced company, we value people who take initiative, stay organized, and aren’t afraid to jump in where needed.

Your responsibilities include managing the daily flow of office activities from the front desk, greeting customers and vendors, completing data entry, maintaining records, and ensuring paperwork, permits, and documentation are accurate and up to date. This is a working Office Manager role — not just oversight. You’ll support both office and field teams, organize administrative processes, and make sure tasks are completed accurately and on time.

The right candidate is dependable, professional, and grounded — a self-starter who leads by example, communicates clearly, and builds positive working relationships across all departments. You’ll serve as a liaison between the General Manager and department leads, keeping information organized, priorities clear, and operations moving forward.

Responsibilities include but are not limited to:

  • Manage the daily flow of office operations from the front desk, ensuring a professional and organized environment.
  • Greet and assist customers, vendors, and visitors in person and over the phone.
  • Serve as a liaison between the General Manager and department leads to ensure clear communication and follow-through.
  • Complete data entry, maintain digital and physical records, and organize job files and documentation.
  • Perform Accounts Payable (AP) entry and assist with Accounts Receivable (AR) oversight to ensure accuracy and timely processing.
  • Understand Payroll systems and procedures well enough to fill in during absences or assist as the company grows and adds administrative staff.
  • Provide Human Resources support, including maintaining employee files, tracking certifications and renewals, coordinating onboarding and offboarding, and assisting with communication related to policies, performance reviews, and training.
  • Support onboarding for new hires including scheduling drug tests, driver abstracts, and safety orientations.
  • Track and maintain company compliance documentation such as training logs and certified payroll files.
  • Oversee administrative processes including permitting, licensing renewals, COIs, and project paperwork.
  • Order and maintain office and operational supplies; coordinate vendor relationships and deliveries.
  • Ensure administrative tasks, reports, and communications are accurate, timely, and aligned with company standards.
  • Assist leadership with ongoing projects, process improvements, and day-to-day coordination needs.

Skills, experience and other requirements:

  • 3+ years of experience in office management, administrative support, or operations coordination (construction or service-based industry preferred).
  • Working knowledge of Accounts Payable, Accounts Receivable, and Payroll processes. (experience in Computer Ease / DelTek is a plus)
  • Ability to learn and use accounting and business software systems with accuracy and attention to detail.
  • Strong organizational skills; able to manage multiple priorities and meet deadlines.
  • Hands-on, proactive work style — willing to handle data entry, documentation, and follow-through personally.
  • Excellent communication and interpersonal skills with the ability to build trust across departments.
  • Professional, neutral, and solution-focused approach to problem-solving.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Understanding of business operations and workflow coordination.
  • Dependable, self-motivated, and capable of working independently.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Notary certification or willingness to obtain (preferred).
  • Valid driver’s license and reliable transportation.

PHYSICAL DEMANDS : The majority of the work hours are in a general office environment, however at times the position may call for work in loading and unloading signage.
